ID da oferta JR113413 Candidatar-se Exibir vagas salvasWe are hiring for a Sr. Administrative Assistant to support the Co-Heads, Global Strategic Marketing & Research, and Head of Marketing Analytics & Insights with daily administrative and project support.
Responsibilities
- Scheduling and preparing for meetings and handling calendars for three executives (including general calendaring as needed for two teams)
- Processing purchase orders, managing business expenses, and personal expense reports
- Create and maintain an organizational system to keep track of POs and their status in case of errors or revisions
- Maintain correspondence with vendor billing teams
- Managing document flow, including creating and maintaining files (electronic and hard copy)
- Other general administrative duties (processing mail, copying, supplies ordering, etc.)
- Handling phone calls
- Updating databases and lists
- Managing executive travel
- Miscellaneous duties as required
- Interface and work with internal and external stakeholders to facilitate meetings, events, etc.
- Onboarding new hires for both teams
- Some work outside regular hours (9am-6pm) may be required (and regularly on Mondays)
Qualifications
- BA required and 1-2 years’ experience as an administrative assistant
- Strong computer skills (Microsoft Suite)
- Good math/finance and general business competency
- Exceptional organizational and interpersonal skills
- Must be detail-oriented
- Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
- Must be able to meet deadlines
- Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
- Common sense, dependability, discretion and attention to detail are required
- Must be a self-starter with a team-player attitude. Excellent communication skills – written and oral, able to deal with and adapt to different personalities and work styles. (must have a professional and courteous demeanor)
- Interest in movies, entertainment, pop culture, and market research & analytics highly desired
